Job DescriptionGENERAL DESCRIPTIONOversee the financial, administrative and physical plant management of condominium and townhome associations managed by Wintergreen Resort. In addition, you will supervise and support professional and administrative staff; maintain strong relationships with Association Boards, Homeowners and Contractors. Strong candidates will have at least 2 years of successful Association Management experience that includes time in a leadership role for a multi-community association environment. SPECIAL JOB REQUIREMENTS/QUALIFICATIONSMust have experience in Community Association Management and strong communication experience with Association Boards, Homeowners, and Contractors. Requirements include, CAI Certification (State Requirement), CICB License (State Requirement), and must be able to maintain current state requirements for department training and licensure. Resort experience is preferred. Required to work some weekends, holidays, and after business hours. PHYSICAL REQUIREMENTSThe ability to inspect all common areas of properties (including crawl spaces and stairwells), climb stairs, bend and stoop. Ability to lift 25 lbs. SPECIFIC DUTIES/RESPONSIBLITIESHires, trains and supervises Community Managers and administrative staff.Prepares and manages Wintergreen Resort Association Management departmental budget and association management budgets. Oversees management of community associations and is responsible for the day-to-day management of a portfolio of associations. Financial management includes budgeting, invoice approval, tracking variances, coordinating of audits and tax filings, securing insurance policies, providing recommendations from financial advisors in managing investments.Physical plant management includes preventive maintenance planning and execution, bidding, contract negotiation and supervision.Performs services in accordance with the management contracts.Prepares and submits to the Board of Directors an operating and reserve budget based on Home Owners Association reserve study.Exercises management authority for the associations subject to the ultimate control of the Board of Directors in accordance to association documents.Attends Board of Directors meetings and annual meetings of the associations.Takes action to comply with orders and requirements affecting the Association issued by governmental authority.Prepares mailings to condominium owners as requested by Board of Directors.Responds to requests from condominium owners for services covered under the management agreement.Promptly investigates and makes full written reports of any accidents or claims for damages relating to the Association of all damages.Advises Board of Directors of all damages.Set a bid limit to retain maintenance, major projects, and restoration. Solicits bids for maintenance and other services as well as insurance as requested by the Board of Directors for the common elementsProvides necessary inspections and communicates with contractors to make certain services are provided in an acceptable manner.Investigates complaints of condominium owners relating to association property and if serious, reports to the association with appropriate recommendations.Proposes capital improvements and replacements in connection with the budget preparation or when deficiencies become obvious, works from the reserved schedule done by engineer.Approves invoices for payment.Coordinates collections/filing of legal actions as prescribed by the Community Manager and administrative staff.In case of emergency, enters individual unit(s) to investigate damage(s) and sources of damage(s).In case of emergency, initiates repairs or replacement necessary to avoid danger to life and property and to protect the safety of property owners and users after approval of designated board member; if no response, proceeds with repair/replacement necessary for people and property safety. EDUCATION & EXPERIENCE:Associate degree in Business Administration or related field required; Bachelor Degree in Business Administration or related field preferred.5 years of Community Association Management experience Working application of current practices and principles of Association Management Experience with other business systems/software relevant to Association Management Experience in working in real estate profession; Real Estate License preferredExperience in or with construction or architectural fields preferred OTHER JOB REQUIREMENTS/QUALIFICATIONS:Well-developed, professional verbal, listening, and written communications skills, including public speakingAbility to maintain a professional appearance and mannerSuperior planning, time critical prioritization and organizational skills Strong work ethic and initiative with high regard for confidentialityResilient problem-solving and critical thinking skills Self-motivated, proactive, detail oriented and a team player Computer literacy; Proficiency in MS Office SuiteExtensive experience in construction and or architectural field would be positiveDevelop and maintain effective working relationships with internal and external partiesProfessional customer service skills.
